    For 19 years, IT² has been an established annual Education Technology showcase for dozens of vendors, solutions providers, service organizations and agencies. Take this opportunity to showcase your story in front of hundreds of school technology professionals, media specialists, principals and superintendents. Our conference offers exhibitors affordable rates, the opportunity to present breakout sessions and dedicated exhibit hall hours!
     
    You are encouraged to register and pay for your sponsorship or Exhibit Hall booth by July 31, 2025, for the best rates.  Beginning August 1, 2025, the rates will increase.  The sponsorship will close on September 5, 2025, and the Exhibitor Hall booth registration will go through October 10, 2025. You can also register additional attendees through October 10, 2025.
     
    Exhibitors who participate in the SWWC's Cooperative Purchasing Program (aka Cooperative Purchasing Connection or "CPC") will receive reduced rate registration for their vendor booth. If you are a Cooperative Purchasing vendor please contact our IT² Committee (it2@swwc.org) for the appropriate registration discount codes and full details with your exclusive pricing.
     
    Hotel accommodation is available.  Please call Best Western Plus at 320-235-6060 or Holiday Inn Express & Suites at 320-231-2601.  Both hotels are attached to the Willmar Conference Center.  The hotel block has been reserved under "SWWC Technology Conference" until September 26, 2025. Check-in time is 3:00 p.m. CST and checkout time is 11:00 a.m. CST.

    Exhibit Hall Packages - available until 10/10/2025
    The exhibit hall will be open on Thursday, October 23, 2025, from 4:00 to 7:00 PM CST. The Exhibit Hall will be the exclusive Conference Event during this timeframe. There will not be any other sessions taking place during exhibit hall hours. The Exhibit Hall will also feature an engaging activity that conference attendees will need to participate in, requiring them to visit your exhibit hall booth in order to earn their entry into our door prize drawings. We hope that this will provide participants with great motivation to visit your booth and meet you! There is no exhibit hall on Friday, October 24th, the space used for the Exhibit Hall will be used for Conference Sessions!
     
    Exhibit Hall Booth - $600.00
    • One (1) 10-foot-wide space and a (1) 8 x 3-foot table with electricity and Wi-Fi.
    • One (1) representative exhibit hall admission including snacks and refreshments, lunch, and evening appetizers for Thursday only.
    • Organizations with more than one attendee representative attending the exhibit hall must purchase an additional pass for each representative not already included in your Exhibit Hall Booth or Sponsorship package.
    • Setup time is from 9:30 a.m. - 4:00 p.m. on October 23, 2025, in Gallery 7.
    • All items must be removed from the facility by 8:00 p.m. on October 23, 2025.
     
    Additional Exhibit Hall Space and Table - $500.00
    • An additional 10x10-foot space is added to your Exhibit Hall Booth, and one (1) additional 8 x 3-foot table. Additional space must be occupied by the same organization.

     

    Mini Exhibit Hall Booth - $300.00 - (Limit of 10 booths)

    • One (1) 8 x 1.5-foot table against the wall in the hallway outside the exhibit hall.  Booths include Wi-Fi, but do not include electricity.
    • One (1) representative exhibit hall admission including snacks and refreshments, lunch, and evening appetizers for Thursday only.
    • Organizations with more than one attendee representative attending the exhibit hall must purchase an additional pass for each representative not already included in your Exhibit Hall Booth or Sponsorship package.
    • Setup time is 3:00 p.m. on October 23, 2025, in the hallways - due to breakout sessions.
    • All items must be removed from the facility by 8:00 p.m. on October 23, 2025.

    Exhibitor/Sponsor Lead Concurrent Session Presentations - $450.00 each. A limit of two sessions may be purchased per organization.

    • All concurrent sessions are 60 minutes in length. Wi-Fi, room audio, and one projection device with HDMI connection will be provided.
    • Presenters are required to utilize microphones during your presentation.
    • Thursday Session – One (1) Thursday-only Conference Pass is provided to the presenter. Additional presenters must be covered by an additional pass. Availability is limited to 5 sessions.
    • Friday Session – Full Conference Pass (Thursday and Friday) is provided to the presenter. Additional presenters must be covered by an additional pass. Availability is limited to 8 sessions.
    • Time of presentations on Thursday and Friday cannot be reserved.
     
    Additional Exhibitor Representative Conference Admission - $60 or $200
    • Organizations with attendees not covered by the passes included in your sponsorship or exhibitor package will need to purchase the appropriate pass for each additional attendee. Presenters from Sponsor or Exhibitor organizations that are assisting in any presentation at IT2  must be covered by an attendee pass.
      • $200:  Full Conference Pass.  Attendee from a sponsor or exhibitor organization that will be participating in the conference on both Thursday and Friday.
      • $60: Exhibit Hall - only Pass.  Additional attendee from a sponsor or exhibitor organization that will be participating in the exhibit hall.  Admission to conference sessions is not included.  Includes snacks and refreshments, lunch, and evening appetizers for Thursday only.

Important Information for Exhibitors

    Exhibitors and Sponsors: It is your responsibility to ensure that door prizes are given in accordance to all state and federal rules and guidelines, including the FCC Gifting Rules that apply to recipients of the Universal Service Administrative Company's (USAC) E-Rate funding program. Please also be aware that some participants at the conference may not be allowed to accept your door prize if they win it at the conference and may request that you donate it to a charity. Any Door Prize must be a benefit to the winner's entire school and in no way a personal benefit to the recipient personally.
     
    Recognition of the door prize donor will be stated on our website and social media when door prize winners are announced.

    Conference attendees will be required to visit your virtual exhibit hall booth and participate in a coordinated activity in order to qualify for vendor-specific door prizes. As an exhibitor, we encourage you to converse and visit with participants as they visit your booth.
     
    SWWC will only release the name and contact information of registrants that have opted to share their information with vendors during the registration process.
     
     
    Cancelations
    Cancelations must be received by 4:30 p.m. on July 31, 2025, to qualify for a refund, after which all registrations are final, and no refunds will be issued. Substitution of attendees from the same organization will be allowed up to the day of the event. However, listings on conference materials, including but not limited to our website, social media, and emails, will not be updated with any changes received after the July 31, 2025, cancelation deadline.  

    Any registrations received after July 31, 2025, are non-refundable.

    In the event a workshop is canceled by SWWC, a full refund will be given. Communications by SWWC will be sent to the Main Contact listed in your registration.
